Keep the day covered

The finish line still needs a team.

For a charity run, fair, or benefit, the most visible activity is only part of the work. Put arrival, support, handover, and closing jobs into the plan while volunteers can still choose them.

  • A role someone can understand

Welcome desk, 9 to 11 AM tells a volunteer more than general helper. Explain the task as well as naming it.

  • A named point of contact

Tell new helpers where to check in and who provides the briefing. A reservation by itself is not an orientation.

  • Cleanup from the beginning

Open the last shift at the same time as the exciting roles. Plan for people who can stay, or return, after the main activity ends.

From an example to your event

Make this signup your own.

  1. 1

Name the event and its stages

Choose the fundraiser date and apply the starter's setup, welcome, activities, and cleanup shifts. Edit the labels around the actual jobs.

  2. 2

    Set useful times and capacities

Check every shift's start and finish. The sample runs from 8 AM setup to a 2 PM cleanup finish; replace those times with your schedule.

  3. 3

    Explain each handover

Name the briefing point and who volunteers should find. Keep money handling, equipment, and any approval requirements in your team's separate operating plan.

  4. 4

    Recruit for remaining coverage

Review the open places by stage. Multiple selections are enabled, but the organizer and volunteer still need to check that their choices work together.

Beyond the signup list

A small plan for a smoother day.

Use these example notes to think through the work before, during, and after your event.

  1. Before event day

    Check the uncovered stages

Ask for the specific role and time still needed, with a clear arrival instruction.

  2. At each handover

    Introduce the next helpers

Confirm that incoming volunteers know the task and the person to contact.

  3. After the activity

    Follow the closing plan

Give cleanup helpers a useful briefing and check the final jobs with the event team.

Our setup team is covered. We still need one welcome helper from 9 to 11, two activity helpers from 11 to 1, and three cleanup helpers from 1 to 2. Choose a shift you can cover and meet at the volunteer briefing point before starting.

Many ways to show up

A good cause brings people together

A bake sale, a book fair, or a performance night can all need a welcome team and a cleanup crew. Match the signup to the work your volunteers will actually do.

A few practical questions

Before you share your signup

Does the signup collect donations?
No. It coordinates volunteer commitments. Arrange donation collection, ticket sales, payments, and receipts separately.
Can a volunteer take two shifts?
Yes, multiple selections are enabled. Check that their times and duties are compatible. The signup does not reconcile a person's outside calendar or assign replacement staff.
Can I use this for a charity run or community fair?
Yes. Rename the stages to match your event and review the work involved. Specialized roles, permits, training, and event operations still need their own plan.
