Make the jobs around the show easy to choose

A good evening starts before the curtain rises.

Programs need handing out, helpers need a briefing, and the auditorium needs a team after the applause. Put those jobs on the signup early so families can choose a contribution that fits their evening.

  • A welcome at the door

Tell the welcome team when doors open, where programs are kept, and who answers audience questions. Give helpers enough time to find their own seats afterward if that is part of the plan.

  • Clear backstage responsibilities

Describe the specific support the director needs and who gives instructions. Share student assignments through the school's usual private channel.

  • A team for the final jobs

Let families volunteer for cleanup from the beginning. Say when it starts, how long it should take, and who confirms the auditorium is ready to leave.

From an example to your event

Make this signup your own.

  1. 1

    Start with the performance schedule

Name the concert, play, or musical, choose its date, and apply the starter times. Replace the sample 6:30 PM curtain and 8 PM finish with your school's plan.

  2. 2

Give each job its own coverage

Review the four setup, two welcome, two backstage, and four cleanup places. Rename roles and adjust capacities with the director or school organizer.

  3. 3

    Explain arrival and responsibilities

Give helpers a check-in point and a named contact. Describe the backstage tasks, briefing time, and school volunteer requirements before sharing the link.

  4. 4

    Check choices before the evening

Multiple selections are enabled. Review overlapping commitments, confirm who can stay through cleanup, and send helpers the details for their chosen roles.

Beyond the signup list

A small plan for a smoother day.

Use these example notes to think through the work before, during, and after your event.

  1. Before performance day

    Confirm the remaining roles

Review welcome, backstage, and cleanup coverage with the school organizer. Ask families for the specific jobs still open.

  2. Before doors open

    Brief each team

Point helpers toward their jobs and introduce the person they should contact. Check that overlapping roles have different volunteers.

  3. After the applause

    Welcome the cleanup team

Give returning helpers a clear starting point and follow the school's plan for putting the space back in order.

Good shows bring a community together.

From backstage helpers to parent planning and a bake-sale table, give every part of the evening a clear way for families to help.

A few practical questions

Before you share your signup

Can I use this for a band concert, choir performance, or school musical?
Yes. Rename the event and roles around your production. Keep arrival, performance, and cleanup times accurate, and explain the work each volunteer will do.
Can parents help and still watch the performance?
They can choose a role that fits their plans, such as setup or cleanup. Explain which jobs continue during the show. Multiple selections are enabled, so volunteers and organizers should check that chosen shifts do not overlap.
Does this reserve tickets or audience seats?
No. Each place is a volunteer commitment. Arrange tickets and audience seating separately, and use the school's existing process for student participation and volunteer approval.
