A clear offer for every exhibitor

Explain the space before asking for the booking.

Booth fees make more sense when businesses know what they receive. Put practical specifications and the day's working arrangements alongside the signup, so each exhibitor can prepare with confidence.

  • Describe the package

State the dimensions, table and chair provision, power availability, and any location differences. Keep the booth labels consistent with the venue's own layout.

  • Make arrival practical

Give load-in times, vehicle access, an on-site contact, and the time displays must be ready. Explain where stock and packaging can be stored.

  • Coordinate the organizing team

An Organization account helps colleagues share event management and business contacts. Use the shared payment connection so booth fees reach the organization's account.

From an example to your event

Make this signup your own.

  1. 1

Confirm the spaces you can offer

Replace the sample booths with your venue's real labels. Give each physical space capacity one. Use descriptions or reference photos to explain dimensions, placement, and equipment.

  2. 2

Review booth fees and payment setup

The example prices standard booths at $150 and corner booths at $225 per signup. Adjust those prices, choose the receiving workspace, and finish its Stripe setup.

  3. 3

    Add the exhibitor instructions

Set the event date and venue, then describe load-in, unloading, table equipment, power arrangements, opening hours, and pack-down. The comment asks for the business name and planned exhibit.

  4. 4

    Review terms, then share

Add clear contact and refund information. Complete any separate exhibitor approval or agreement process before asking businesses to book. Save a draft, review the guest page, then publish the link.

Beyond the signup list

A small plan for a smoother day.

Use these example notes to think through the work before, during, and after your event.

  1. Before opening bookings

Match the list to the room

Confirm each physical space, what is included, and any separate approval process. Remove unavailable spaces before sharing the page.

  2. Before exhibitors arrive

    Prepare a useful handoff

Check confirmed bookings and payment statuses. Give the organizing team booth assignments, arrival instructions, and the right contact information.

  3. After the showcase

    Close out the bookings

Review payments and refund requests, collect useful feedback, and keep future invitations relevant. A paid booth reservation does not automatically renew for the next showcase.

A few practical questions

Before you share your signup

Can standard and corner booths have different prices?
Yes. Each labeled slot has its own fee. This example uses $150 standard booths and $225 corner booths, charged once per booking. You can edit the labels, prices, and number of spaces.
Does the signup approve a vendor application?
No. It reserves a space and collects payment. Arrange vendor eligibility, agreements, insurance, and venue requirements through your existing process, and make the sequence clear before accepting reservations.
Can I show a booth photo or layout reference?
Yes. Add reference photos to slots to help exhibitors understand a space. Label the actual booth and dimensions clearly. These are reference images, not an interactive floor-plan booking system.
Can a business book more than one booth?
The starter permits one booth per signup. You can enable multiple slot selections if you want businesses to reserve several spaces and pay their combined fees. Each booth still needs its own capacity of one.
Does a refund release the booth?
Refund and cancel signup releases the place after the refund succeeds. Refund only keeps the booking. Review the payment-management options and your exhibitor terms before taking action.
