For neighbors, colleagues, and community hosts

Potluck signup with optional contributions for supplies

Let everyone bring something useful and give those who want to help an easy way to cover the extras. Keep the dish commitment free, with optional support for plates, drinks, or shared supplies.

Starts free. No Stripe setup needed. Add payments when you are ready.

The small extras add up

Make room for different ways to help.

Some guests bring a favorite recipe, others cover cups or napkins, and some can only bring themselves. Clear wording keeps the gathering welcoming while making the shared costs visible.

  • Keep the request specific

Name the supplies or venue costs the contribution supports. Avoid an unexplained donation request attached to a casual meal.

  • Clarify portions and ingredients

Tell guests what one dish commitment means and how to share ingredient information. Do not infer dietary suitability from a dish name alone.

  • Share repeat hosting

Organization can help a workplace or community team manage recurring gatherings and shared contacts. Free organizers can also collect optional contributions.

Main dishes, sides, desserts, and drinks remain free to claim. The example suggests an optional $5 contribution once per signup. A guest can skip it and still make exactly the same dish commitment.

Keep the meal welcoming and the supplies supported

An optional contribution can help with shared extras without charging guests to bring a dish. Make the skip choice clear and use a collection for support without a dish commitment.

Available on Free and Organization. Complete Stripe setup with an eligible US account to collect payments in US dollars. Organizers pay Stripe processing fees plus Signup Bubble’s 1% fee, with a $0.25 minimum and a $0.75 maximum per checkout.

From an example to your event

Make this signup your own.

  1. 1

    Describe the shared supplies

Choose the workspace receiving optional payments and complete Stripe setup. Explain what the fund covers and who will purchase the extras.

  2. 2

    Balance the contribution list

Review the main-dish, side, dessert, and drink capacities. Guests may choose several slots and describe their dish in a private comment.

  3. 3

    Keep the payment optional

The example uses optional contributions with a suggested $5. Review the amount and say explicitly that skipping payment does not affect the signup.

  4. 4

    Add practical hosting details

Set the date, venue, arrival instructions, ingredient guidance, and contact/refund information. Review the free and contributing paths before publishing.

Beyond the signup list

A small plan for a smoother day.

Use these example notes to think through the work before, during, and after your event.

  1. Before sharing

    List the useful contributions

Review dish categories, serving sizes, and what the optional money will cover. Assign someone to purchase shared supplies.

  2. Before the meal

    Check dishes and funds separately

Look at remaining dish commitments and successful contributions. An unfinished optional payment should not be treated as a missing dish without checking signup status.

  3. After the meal

    Close the supplies budget

Explain spending and handle remaining money or refund requests according to what you told the group.

A few practical questions

Before you share your signup

Can someone sign up without paying?
Yes. A contribution is optional. Guests can skip it and complete their free dish signup.
Does choosing several dishes multiply the suggested contribution?
No. The optional amount is once per signup. Selecting a main dish and dessert does not automatically double it.
Can someone give without bringing a dish?
This starter requires a slot choice. Share a separate collection page for supporters who want to contribute money without claiming a dish.
Do the slots tell me how many diners to expect?
No. A dish commitment is not an attendance count. Collect attendance separately when you need a complete headcount, and explain portion sizes in the dish labels or description.
Do I need a paid plan to collect payments?
No. Payments are available on Free and Organization with an eligible US Stripe account and US-dollar payments. Complete Stripe setup for the personal or Organization workspace receiving the money. Transaction fees apply. Organization is useful when colleagues share management, contacts, and an ongoing program.
