Managing your event
Messages and Sending History
Review recipients before sending, check what was queued or sent, and share communication history with your organization.
Review before you send
Quick Send, custom attendee messages, contact and list invitations, and follower announcements show a recipient review before the final send. Write the message, choose Review message or Review announcement, then check the subject, message, and eligible recipient count.
The review excludes invalid, unsubscribed, or unavailable addresses. Invitations and follower announcements remove duplicate email addresses. Custom attendee messages include only confirmed attendees and send a separate email with a personal manage link for each signup, even when signups share an address. Contact invitations also respect your choices to skip people already invited or signed up. Open Review addresses to check the audience; larger audiences show the first 50 addresses.
Choose Edit message to make changes. Recipients are checked again when you send. If the message or audience changes, refresh the review before confirming. A review expires after 20 minutes. Sending limits apply to eligible recipients; see Limits.
Find an event's message history
Open the event dashboard and choose More → Message history. The list includes invitations, organizer messages, signup follow-ups, follower announcements, recap invitations, and photo requests recorded in the email queue.
Open Filter messages to narrow the history by sender or date, then select a subject to see the message text and recipients. Search recipients by name or email to find someone and check their sending status. Select a saved contact's name to open their contact history. Use Refresh to update sending status.
See what your team sentOrg
In your organization, open Messages for a shared history across events. Admins and organizers can filter by event name, sender, and date. This helps another teammate check whether an invitation or update has already gone out.
New records keep the sender's name and message even when their account or the event is deleted. Removing a teammate removes their organization access. An inactive organization can still read its history. Deleting the organization removes its history.
What each status means
- Queued: waiting to send, or waiting for an automatic retry.
- Sending: a delivery attempt is in progress.
- Sent: the email provider accepted the message. This does not confirm inbox delivery or that it was read.
- Failed: sending could not be completed after the queue's attempts.
- Not sent: the address was excluded when the queue checked it, for example if it became unavailable after review.
History dates and date filters use UTC. Review and history show your message text alongside send details; individual email templates also add the relevant event, manage, or unsubscribe links.
Which earlier emails appear?
Retained queue records associated with an existing event are included as Older record entries. Their sender information uses the saved name or the record's owner when history was added. Earlier direct sends, test emails, signup confirmations, and automatic reminders are not included. An empty history does not mean no email was ever sent.
